Mon Coup de Coeur Gîtes Booking Terms and Conditions

Dear Guests, 

Jo & Geoff Tait welcome you to Mon Coup de Coeur Gîtes and hope that you will enjoy your stay here. The following are the underlying Terms and Conditions (T&Cs) for all bookings for the gîtes. The T&Cs constitute the boring stuff but they are important and explain the details of the agreement between each individual Guest and the owners. We hope that by reading and understanding the T&Cs you will be in a position to avoid any future potential issues. The lead booker is responsible for making sure that all Guests in the party are made aware of these T&Cs to the extent that they are relevant to each of them and their stay. The lead booker is identified by name in the booking communications, which may take one of several different forms, depending on the source of the booking.

Bookings are subject to the following terms and conditions:

The contract binds you (the lead booker) and all the members of the party who are part of the booking. It is your responsibility to ensure that all members of your party accept the terms of the contract set out in these T&C. Failure to disclose all relevant information or comply with these terms may lead to termination of the contract & loss of the booking.

Included in your booking

The rental is inclusive of water, electricity, and use of the parking, laundry room, terrace and swimming pool areas of Mon Coup de Coeur Gîtes. The parking, laundry room, terrace and swimming pool areas are shared between the two gîtes known as “La Rocque” and “Le Braye”. The rental cost includes the local tourist tax (taxe de séjour).

Bedding, linen and towels are provided for use only inside the Gîtes. We can provide a baby travel cot at no extra charge on request, however, we ask Guests to bring their own cot linen. Clean linen for the Gîtes will be provided on change-over day for stays of 2 weeks or more. Additional towels for outside use at the pool as well as a beach are provided by the owners.

  • Premium towels for inside the Gîte(s) and also towels for the pool and beach.

  • A welcome basket on arrival 

Payment

We accept payment via bank transfer. Please call or email us to request the details.

Following receipt of the payment and completed booking form, the owners will send confirmation of the booking. This is a formal acceptance of the booking.

A contract between you, the lead booker and all the members of the party (Guest(s)) and the owners will come into existence when the deposit or full payment is received, and a booking confirmation is issued showing the confirmed rental dates. The lead booker must be one of the members of the party of Guests.

A deposit of 25%, or full payment, of the holiday cost is payable at the time of booking.

Bookings made less than 60 days before your arrival date must be paid in full, plus a €250 refundable damage deposit* (if requested).

Any balance must be paid no later than 60 days before the commencement of your rental period. If the balance is not received by the due date, then your booking will be treated as a cancellation.

The owners reserve the right to refuse a booking without giving any reason.

Bookings made online are provisional until confirmed by the owners.

Guests

We require the names, ages, and contact details of all Guests in the booking party.

Bookings cannot be accepted from persons under eighteen years of age.

To reserve the property the guest nominated as “lead booker” should read the booking form and T&C and make arrangements to pay the full balance indicated.

The accommodation is provided for the persons named on the booking form. We must be informed in advance of any alteration. 

The maximum number of persons occupying the property must not exceed 2 persons, in the case of La Rocque Gîte and 6 persons in the case of Le Braye Gîte and this must not be exceeded, unless agreed upon in advance with the owners and only those listed on the booking form can occupy the property, even if the maximum occupancy is not reached. If you wish to invite additional visitors to the Gîte(s) during your stay, please ask the owners in advance.

Guests are asked not to use the Premises to host parties. Non-Guests shall not be invited by any Guest to participate in any celebrations at the Premises, unless by specific prior arrangement with the owners

The facilities of the Gîtes, and particularly parking, terrace and swimming pool areas of Mon Coup de Coeur Gîtes, are for the exclusive use of Guests who have paid for the privilege and can be bound by these terms and conditions. Third parties not identified on the booking cannot practically be bound by these conditions and so cannot be entertained at the Premises without the owners’ consent.

Check in/Check out

The rental period commences at 16:00h on the first day and ends at 10:00h on the last day. The owners will not be obliged to offer the accommodation before the commencement time stated and the Guests will not be entitled to remain in occupation after the end time stated. Failure to depart on time may result in Guests being charged a further day’s rental. The Guests’ cooperation in complying with the times of the rental period is appreciated and necessary, so that there is sufficient time for the owners to prepare the property for incoming Guests, although we will consider reasonable requests to vary the times, if that is possible.

Before your departure: a) please empty all bins and place used bin bags in the appropriate wheelie bin in the bin area, b) please also ensure that all used crockery, glassware and cutlery is washed and c) leave used bedding in place, as the owners will strip the beds of bed linen.

Check-in / Check-out 

  • During peak season (1st June – 15th September) check-in is normally on Saturday and there is a 7 night minimum stay. 

  • Outside peak season, we can be more flexible with check-in days please contact us to discuss your requirements. 

  • The time of arrival is anytime from 16:00h until midnight. (If you have a later flight please let us know in advance and we’ll do our best to accommodate your needs.)

  • Check-out is at 10:00h. We have to make it this hour so that we have enough time to thoroughly clean the Gîte(s) and complete the change-over ready for incoming Guests. We thank you in advance for adhering to this time.

Cleaning Arrangements

Guests agree to be considerate and to take good care of the Gîte(s) and the facilities. Guests agree to leave the property in a clean and tidy condition at the end of the rental period. The owners do not charge a cleaning fee, however, if the Gîte(s) are left in a dirty or very untidy state then we reserve the right to charge a €100 excess cleaning fee. This cleaning fee will be automatically deducted from the security deposit, otherwise it must be paid to the owners within 14 days of the Guests’ departure.

Parking

We have space for up to three guest cars on the property. This area is accessed from the road and is secure behind high gates. All cars are parked at your own risk. Please only use the designated car parking area, parking is not allowed in any other areas of the property. 

Swimming Pool

We have a beautiful, in-ground, fibreglass swimming pool which can be used during your stay with us. The opening hours are 08:00h – 20:00h. Please do not use the pool outside of these times as we need to clean and maintain the pool daily during the out-of-hours opening times. 

Children must be supervised at all times, both in and out of the pool, there is no lifeguard nor any fencing around the pool, access to the swimming pool is direct from the gîtes’ terrace.

You are welcome to play music around the pool, but please keep it to a reasonable volume level so as not to disturb other Guests and our neighbours. Eating & drinking in the pool is not allowed and no glass is allowed around the pool. There are reusable plastic cups in each of the gîtes.

Tanning products and sun creams with bronzer, as well as certain sunscreen products (particularly Nivea sunscreens and P20 suncream) may stain the furniture fabrics in the Gîtes, the linens, towels, and/or the swimming pool walls and are therefore not permitted to be used anywhere on the property. Guests will be liable for the repair or replacement costs of articles damaged by the use of tanning products.

Please replace the pool cover after use to retain heat.

The Gîtes and Grounds

The Gîtes premises and our personal home dates back to 1841. Whilst it has all the equipment and services described on the website or booking site, its character and fabric will reflect its age and practical condition. Guests will be responsible, through the contract with the lead booker Guest, to avoid further deterioration to the fabric or contents of the Premises beyond that which was apparent when all or any of them arrived on the premises.

The Gîtes are offered as a relatively peaceful rural location for Guests to relax and enjoy the facilities. The owners cannot be held responsible for any disruptive noises or inconveniences caused by activities beyond the premises, such as in the surrounding locale, nor for any utilities or emergency services which may need to enter the premises to deal with unforeseen events or emergencies.

Guests agree not to act in any way which would cause a nuisance or disturbance to those residents in any neighbouring property. Should we consider your behaviour to be unacceptable, we reserve the right to ask you to leave the Gîte(s). No refunds will be made.

Damges & Breakages

*Damage deposit – In making a booking you accept responsibility for any theft, breakage or damage caused by you, or any member of your party and agree to indemnify the owners in full for any loss that may be incurred as a result. A security deposit of £250 is required in advance of your arrival and will be returned within 7 days of the end of your stay, less the cost of any damage/breakages.

Damages and breakages – please treat the facilities & Gîtes with due care so that other Guests may continue to enjoy them. If you notice something is missing or damaged in your Gîte(s) or the shared areas, please let the owners know immediately (there is a pad to report such things in the laundry) so that we can take the appropriate action. If there have been any damages or breakages during your stay, we would be grateful if you could report them promptly, especially before check-out. The Gîte(s) will be inspected at the end of the rental pedriod & you may be charged for any loss, damage or extra cleaning costs. These are to be paid for in full within 7 days of notification.

If damage occurs and the owner must cancel and/or refund subsequent bookings, the owner may bring a claim against you for any loss arising as a result.

Guests are advised to report any defects in the Gîtes, including any missing items from the inventory, to the owners within 24 hours of arrival. After that point in time, Guests may be held liable by the owners for any damage/loss found after departure, typically during preparations of the Gîte(s) for the incoming Guests’ arrival(s). Arrangements for repairs and/or replacements will be made as soon as possible.

Rules

Please be advised that no additional overnight visitors are allowed to stay at the property.

We or our representatives reserve the right to enter the property at any time to undertake essential maintenance, repairs or for inspection purposes.

Smoking is not allowed in any inside spaces on the premises. Vaping or smoking anywhere inside the premises will result in immediate termination of occupancy and forfeiture of all payments. This must be strictly adhered to, and any damage or extra cleaning caused will be at the Guest’s or Guests’ expense. Guests are permitted to smoke on the open terrace and pool area but please be respectful of other Guests and carefully dispose of cigarette ends in the ashtrays provided. Smoking whilst using the pool is not allowed.

Pets are not permitted on the property. As much as we are pet lovers, we have our own dog Oscar, so we can’t accommodate any others. Oscar does not have access to our Guests’ Gites or the pool and parking areas. He is however, a very friendly chap and should you need to cross the courtyard to speak to the owners, he is likely to want to say “hello”. 

Please do not move any furniture from one room to another or any of the indoor furniture, furnishings or bedlinen outside.

For your own peace of mind, please lock the doors and close the windows when you leave the property unoccupied. The property is secure and entry is protected by remote controlled gates, in addition south west France has a very low crime rate.

Please make sure you switch off lights, heating and any electrical appliances when you go out – we’re an eco-friendly holiday home.

In rural France we have no mains drains and no sewer system, we have a fosse septique (a septic tank). Please do not flush anything down the loo other than the food and drink you have “processed” and the toilet paper we have provided. Even paper facial tissues and hand towels will foul-up the eco-friendly bio system of our fosse and of course, q-tips, ear-buds and sanitary towels etc. are an absolute “no-no”. Thank you for your cooperation

Please don’t take any bath towels with you to the beach or the pool, please use the pool/beach towels provided.

The owners reserve the right to make a charge to cover additional cleaning costs if the Guest(s) leave the property in an unacceptable condition.

Please note that if any keys/fobs issued are not returned at the end of your stay, then the cost of replacement will be charged to you.

Guest(s) may under no circumstance re-let or sub-let the property.

The owners shall not be liable to you or your party, for loss or damage to property, however arising.

All inventory must remain in the property and not be taken to another property.

You are responsible for the supervision of all members of your party under the age of 18 at all times.

Please park your vehicles in the designated parking spaces, ensuring cars do not block access to other users. Parking is limited to 3 vehicles, shared by both Gîtes.

Please respect the community and our neighbours by keeping noise levels to a minimum, especially between 23:00h and 08:00h.

We reserve the right to terminate your rental agreement with immediate effect where the unreasonable behaviour of the person(s) named on the booking (or their Guests) may impair the enjoyment, comfort or health of others. You’ll be asked to leave the property, without any refund of the rental amount paid.

Please use the designated barbecue utensils and clean the barbecue after use.

Fireworks, Chinese lanterns, firepits, candles and portable BBQs are prohibited.

Third-party suppliers - If you want to use the services of a third-party supplier (e.g. a chef, beauty treatments) this must be agreed beforehand. If you bring in a third-party supplier without consent, the owners reserve the right to ask them to leave. We do not accept liability for the activities of any third-party suppliers.

Wi-Fi – the Guest(s) agree to reasonable and lawful usage of the Wi-Fi.

Domestic electric vehicle chargers (commonly known as a ‘granny charger’ or a ‘trickle charger’) are not suitable for use at the property and are strictly forbidden. You are liable for any damage or loss suffered by us due to your unauthorised use of domestic chargers.

There is no dedicated electric vehicle charging point at Mon Coup de Coeur Gîtes however, there are charging points within 4 kms of the property.

Any problem or complaint must be immediately reported directly to us/our representatives to allow us the opportunity to resolve it.

Non-compliance with the house rules will be considered a breach of the T&C of the rental agreement. We reserve the right to terminate the booking with immediate effect and without a refund if Guest(s) do not abide by the rules and T&C.

This property is privately owned and is our home. We expect all Guests to enjoy the facilities and treat the property with the same respect that they would treat their own home.

Additional convenience services

The owners offer a pre-arrival ‘starter shopping supply’ which will include bread, milk, sugar, coffee, teabags, toilet rolls, washing up liquid, dishwasher tablets and laundry washing tablets. We can also fulfil a bigger shopping list in advance of your arrival, by request - please enquire for terms of service.

The owners also keep a supply of red, white and rosé wines and beer (generally Kronenburg), which can be purchased by Guests.

We levy a reasonable fee for providing Guests these convenience services.

Cancellations

Any cancellations must be notified in writing and once received we will confirm the cancellation.

We understand that certain events can render a booking on a particular date unfeasible, so if you need to change the dates of your booking please contact us with as much notice as possible and we will always try our best to accommodate you. Should you need to cancel your booking after it has been confirmed, the lead booker must notify us in writing. In the event of a cancellation, the following charges, based on the basic rental cost, are payable from the date we receive your notification. We strongly advise that you take out comprehensive travel insurance to cover cancellations. If you choose not to, then you accept responsibility for any loss that you may incur due to your cancellation.

  • If the booking is cancelled more than 60 days before the check-in date 80% of the booking deposit cost will be refunded to your original payment method. If it is possible to rebook the cancelled dates with another customer a 90% refund will be given.

  • If the booking is cancelled between 45 and 59 days before the check-in date a 60% refund will be issued to your original payment method. If it is possible to rebook the cancelled dates with another customer a 90% refund will be given.

  • If the booking is cancelled between 30 and 44 days before the check-in date a 50% refund will be issued to your original payment method. If it is possible to rebook the cancelled dates with another customer a 90% refund will be given.

  • If the booking is cancelled between 7 and 29 days before the check-in date a 25% refund will be issued to your original payment method. If it is possible to rebook the cancelled dates with another customer a 90% refund will be given.

  • If the booking is cancelled less than 7 days before the reservation is due to commence then there will be no refund. If it is possible to rebook the cancelled dates with another customer a 50% refund will be given.

If your booking is cancelled by the owners due to circumstances beyond our control, notification will be given of the cancellation as soon as possible and we will promptly refund all payments made to us for your booking. Our liability for cancellation will be limited to payments made to us.

If our property must close due to government restrictions or your address is put into local/regional lockdown for your holiday dates and you are unable to travel, you will be refunded in full.

Complaints

In the event of a complaint arising, either on arrival or after your stay has commenced, please contact the owners so that remedial action, where necessary, can be taken without delay. The owners will do everything possible to deal with any difficulties both quickly and effectively. The owners retain the right to enter the property at any reasonable time to deal with any complaints and to carry out any repairs deemed necessary to the property or equipment. Any complaint after departure must be in writing within 14 days of your departure.

Insurance 

The owners cannot be responsible for any failure on your part to make the necessary travel arrangements, nor for delays or cancellations due to third parties. 

All Guests are required to be covered by holiday travel insurance that covers Third Party Liability, including for damage caused to the Gîtes premises and property. In the case of significant material damage caused by the actions of any Guests or their unauthorised invited visitors, which cannot be reclaimed from the owners’ own insurance, the lead booker Guest may be made personally liable whether or not she or he has taken out insurance to cover the booking.

Liability

The owners shall not be liable to Guests:

For any temporary defect or stoppage in the supply of public services to the property, nor in respect of any equipment, plant, machinery, or appliance in the property, pool or garden.

For the loss, damage or injury, which is the result of adverse weather conditions, riot, war, strikes, or other matters beyond the control of the owners.

For the loss, damage, or inconvenience caused to or suffered by Guests if the property shall be destroyed or substantially damaged before the start of the rental period and in any such event, the owners will, within seven days of notification to the Guest(s), refund all sums previously paid in respect of the rental period

For any loss, injury, death or damage which may be incurred while staying at the property.

For the personal safety and security of Guest(s) (or their belongings) whilst on our premises or for the use of items supplied by the owners. It is the Guests’ responsibility to ensure that all children are supervised, particularly in and around the pool area. There is no lifeguard at the pool and no fencing, so children must be supervised at all times in and around the pool.

For any loss, theft, or damage to cars parked at the property.

The owners accept no responsibility for injury or death which may be incurred whilst using the swimming pool. Children must be supervised at all times both in and out of the swimming pool. 

Personal information and Data Protection

All Guests must supply basic personal information capable of identifying them to public authorities in case of any emergency or other relevant occurrence. 

Any personal information collected by the owners or booking agents will be held for at least 18 months in order to satisfy police and tourist authority requirements; except Finance-related details, which will be retained for six years.

Applicable Laws 

This contract shall be governed by French law in every particular, including formation and interpretation and shall be deemed to have been made in France. Any proceedings arising out of or in connection with this contract may be brought in any court of competent jurisdiction in France

Accessibility

The entrance to the Gîtes is at ground level. All bedrooms are at first floor level accessible by a staircase. All bedrooms have ensuite bathrooms. The pool and terrace can be accessed from ground level. Please contact us if you need any more information about accessibility.
